Operations Specialist

We are looking for a highly motivated and proactive Global Operations Specialist to support our operations in Indonesia. This is a hands-on, dynamic role that requires operational excellence, strong ownership, and the ability to work independently without the need for micromanagement.

As part of the APAC Operations team, you will be the go-to person for ensuring smooth and efficient offices and travel support in Indonesia. You will work closely with local teams, vendors, and cross-functional stakeholders to anticipate needs, solve problems, and continuously improve processes.

Responsibilities

  • Own and manage daily operational processes in Indonesia (e.g., office operations, travel coordination, vendor management, documentation, procurement, etc.)
  • Offices opening, movings, closures
  • Identify inefficiencies and propose solutions without waiting to be asked
  • Take initiative to improve local operations and implement best practices in collaboration with the regional team
  • Act as a local partner for business stakeholders, ensuring their operational needs are met with speed and quality
  • Coordinate with vendors and service providers, ensuring high standards of performance and cost-effectiveness
  • Keep internal documentation and trackers up to date and accurate
  • Contribute to regional initiatives and cross-country collaboration efforts
  • Support crisis management and ensure business continuity at the local level
  • Provide local support to HQ and regional teams in organizing business events, team gatherings, and external meetings
  • Coordinate visits of senior leadership and other key stakeholders, including travel arrangements, on-site logistics, and office readiness
  • Book and manage external venues such as conference rooms, meeting spaces, or event locations as needed

Qualifications

  • 2–4 years of experience in operations, administration, or similar roles
  • Experience in facility operations, offices openings, travel support
  • Proven ability to work independently and take ownership of tasks
  • Strong problem-solving skills and a solution-oriented mindset
  • Excellent organizational and communication skills
  • Comfortable working in a fast-paced and ambiguous environment
  • A proactive attitude — you see a problem and act on it
  • Fluent English

    Nice to Have

  • Experience working in a global or regional operations team
  • Familiarity with procurement, vendor management, and office space management
  • Interest in business processes and improving efficiency
  • Background in supporting remote or hybrid team
